Job Description

A busy litigation law firm is seeking an experienced Litigation Secretary to provide comprehensive administrative and litigation support to attorneys. The ideal candidate will have strong knowledge of litigation procedures, excellent organizational skills, and the ability to manage multiple deadlines in a fast-paced environment.


Key Responsibilities

  • Provide direct administrative and litigation support to attorneys
  • Prepare, format, revise, and proofread pleadings, motions, discovery, and legal correspondence
  • Handle court filings and e-filings in state and/or federal courts
  • Maintain and manage litigation calendars, deadlines, and docketing
  • Coordinate scheduling for hearings, depositions, mediations, and meetings
  • Organize and maintain electronic and physical case files
  • Assist with discovery preparation, including document organization and production
  • Prepare materials for hearings, mediations, and trial, including binders and exhibits
  • Communicate professionally with clients, courts, opposing counsel, and vendors
  • Handle incoming and outgoing mail, document scanning, and file management
  • Ensure accuracy, confidentiality, and compliance with court rules and firm procedures

Qualifications

  • 2+ years of experience as a Litigation Secretary or Litigation Legal Assistant
  • Prior experience in a litigation law firm required
  • Strong knowledge of civil litigation procedures and court rules
  • Experience with e-filing and litigation calendaring
  • Excellent written and verbal communication skills
  • Strong attention to detail and organizational skills
  • Ability to manage multiple priorities and deadlines
  • Proficiency with Microsoft Word, Outlook, and Adobe Acrobat

Preferred Qualifications

  • Experience with state and federal courts
  • Familiarity with case management or docketing software
  • Trial or arbitration preparation experience
